With oversight and direction from the Program Director, the Program Coordinator is responsible for daily operations and continuous accreditation processes for the ACGME accredited residency training program consisting of 60 + residents. The Program Coordinator is responsible for supervising the fellowship coordinator; providing oversight and direction for two ACGME Accredited fellowships and the unaccredited fellowship training programs. The position requires a comprehensive and detailed understanding of national accreditation policies, ACGME requirements, hospital policies, as well as a high degree of initiative and independent judgment.

The Program Coordinator will continually assess and direct a wide range of programmatic issues including long range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, communicating with faculty and trainees regarding a range of issues, and managing internal and external program relations.

PRINCIPAL DUTIES AND RESPONSIBILITIES
  • Provides support and meets regularly with the Program Director to discuss and evaluate residency management ACGME compliance, activities, didactics, and the status of projects. Identifies and evaluates the methods for improving workflow makes recommendations to the Program Director for improvement. May assist in program-level innovation and development.
  • Interprets and applies ACGME requirements, other national accrediting agencies, and hospital policies to support compliance.
  • Provides both administrative supervision, support and guidance to residents and interns regarding administrative issues, due dates, and deadlines.
  • Acts as a liaison between residents, hospital and departmental administration when necessary. Establishes relationships and acts as a liaison to specialty boards, ACGME, other Hospitals, internal departments, and divisions regarding resident recruitment, orientation, rotations, education, scheduling, credentialing, and any issues that present themselves pertaining to the residency.
  • Oversees department-level trainee orientation.
  • Informs residents and trainees of rotation goals and objectives, policies and procedure changes.
  • Tracks, reports, and ensures compliance with ACGME and ABA requirements.
  • Manages materials, creates schedules, reserves rooms and proctors specialty-specific trainee exams.
  • Develops, implements, and oversees the maintenance of filing, record keeping, distribution of materials, and other types of office/program systems. Evaluates and standardizes office procedures and effectively troubleshoots and resolves issues.
  • Maintains databases with resident and faculty data, including ACGME, New Innovations, ABA, FRIEDA.
  • Manages the evaluative processes of the trainees, program, faculty, and rotations.
  • Develops and distributes rotation and vacation schedules.
  • Provides oversite for the ACGME subspecialty fellowships. Supervision of the fellowship coordinator for ACGME fellowships.
  • Plans departmental annual events including recruitment, orientation, graduation, as well as various meetings and program-related events.
  • Organizes meetings and prepares and distributes materials for conferences and lectures. Develops brochures, invitations, or advertisements for events/lectures as needed.
  • Creates, distributes and manages evaluations in New Innovations. Track and evaluate progress and compliance.
  • Creates and/or maintains external program advertising/media through websites, social media, brochures, publications and other such media. Creates/edits annual publications regarding the program. Maintains program's website.
  • Maintains the ERAS (Electronic Residency Application System), Thalamus (GME interview management software, NRMP (National Residency Matching Program) databases and oversees all processes during the Residency Recruitment season.
  • Performs all Match responsibilities and corresponds with newly matched residents about requirements and process for appointment to the hospitals
  • Tracks and document all Departmental scholarly activity and research. Provide reports and submit information for review to the Research Evaluation Committee
  • Verifies trainees' status and activities. Provide Residency and Fellowship verification of training as requested.
  • Assists in the preparation for ACGME Self Study, Site Visits, and internal/special reviews.
  • Assists in monitoring residents' duty hours and operative/case experience via regular review of data reports.
  • Receives inquiries from residents and applicants and triage as necessary. Provide information and provide resources as needed.
  • Works with the business administrator to develop, monitor and report on the training program budget. Submit check requests for reimbursements.
  • Performs other duties as assigned by the Program Director.

The selected candidate will not be allowed to commence working until all three (3) are completed satisfactorily.
